Abstracts Submission Guidelines

The IPHACON – 2018 Scientific Committee invites abstract submissions for the 62nd Annual National Conference, being held 09th – 11th February 2018 in Lucknow, India. To be considered for presentation at the conference, abstracts must be submitted online for review by 15 Dec 2017 and should follow strictly the guidelines below.

The abstract should have content suitable for submission under one of the Themes and Sub-themes

Submission of Abstracts

Abstracts must be submitted electronically through the IPHACON 2018 website.

Abstracts sent by email, post or fax or abstracts not in English will not be processed by the IPHACON 2018 secretariat and will not be forwarded to the reviewers. Submissions will be acknowledged by e‐mail to the presenting author.

A maximum of two abstracts total will be accepted from any one presenting author.

Presenting Author

The presenting author is the one who will personally present the paper at the conference, at either an oral or Poster session. The presenting author need not be the primary author or the one who has made the most contribution to the paper. All communication from the conference will be only with the presenting author. The presenting author’s contact details must be listed when submitting the abstract on‐line.

The presenting author must be sure of having Internet and email access during the critical periods indicated by the dates below. The IPHACON 2018 Secretariat will communicate with the presenting author through the e‐mail address entered in the online submission form.  The presenting author should mark the secretariat’s email address as “Not a Spam Source” or equivalent in his/her email software.

Format of Abstract

Title – The title of the abstract should be as brief as possible, preferably less than 15 words.

Body – the body of the abstract should be a maximum of 300 words (excluding the title) of plain text without any diagrams, charts or footnotes. Abstracts need to be structured as follows, regardless of whether they describe research or programme efforts

  • Introduction
  • Methods
  • Results
  • Conclusions

Concentrate your presentation on what was done, what was achieved and how the results make a difference/add value to public health and/or impacted the public’s health. Keep background information such as the description of your organization/institution/country to a minimum.

Opening and Closing Dates

The abstract submission system will open on 15 June 2017 and close on 31 December 2017 at 6.00 pm Indian Standard Time (GMT+ 5 hrs 30 mins).  Submissions will not be accepted after the closing date/time. Abstracts may be edited or deleted/replaced online as often as desired up to the closing date/time.

Presentation Format

Presentations based on the abstract will be in Oral or Poster format. When submitting an abstract online, presenting author may request:

  • “Oral or Poster as decided by Committee”
  • or “Poster only”

The Scientific Committee retains the right to decide whether the abstract is more suited for Oral or Poster presentation.

Authors who have papers accepted for Oral presentations should prepare Microsoft PowerPoint slides. Presenting authors, both Oral and Poster, will receive detailed instruction about computing facilities, requirements and appropriate guidelines prior to the congress. Oral presenters are limited to 8 minutes plus 2 minutes of audience questions & discussion.

Review and Acceptance of Free papers

At the close of abstract submissions, the abstracts will be distributed to reviewers for assessment and comment. All abstracts will be assessed by at least two reviewers. On the basis of these reviews, the Scientific Program Committee will accept or reject the submissions and allocate accepted papers to an appropriate Free Paper or Poster session. Authors will be notified of the outcome of the review process by 15 January 2018.

Registration of Presenting Authors

For a presentation based on the abstract to be included in the program, presenting authors must register for the IPHACON 2018 no later than 31 December 2017.  If presenting authors are not registered by that date, the abstract will be deleted from the program and will not be reviewed / published.

Substitute Presenters

Presenters who are unable to attend the IPHACON 2018 may nominate a substitute presenter, provided the substitute: ‐ is a co‐author of the paper

‐ is registered to attend the IPHACON 2018

‐ will have a total of two or less total presentations (oral + poster) including all those for which he/she will be a substitute presenter.

Publication Rights

By submitting an abstract, the authors give the right to the IPHACON 2018 to publish the abstract.
